Time is limited to 24 hours each day, so it is important to know how to manage the ticks of the clock that make us increasingly more aware of the importance of each breath we take.

Those who seem to get a lot done don’t have secret extra hours of magic hidden away from the rest of us. What they do have is an understanding of time management.

It is possible to achieve your lifelong goals by managing the time you have wisely.

Start being a good time manager by putting into practice what you will use later use on the job once you have achieved your goal of becoming a business analyst. One of the skills that a business analyst uses is time management.

Optimize your efforts by applying these ten time management tips and skills to accomplish your goals and make the most out of your limited time and ultimately find more time to spend with those you love:

  1. Set goals and re-evaluate – Sit down and write everything you want to accomplish. At the end of the month, refer back to the list and ask, “what have I changed?” This will be a starting point for re-evaluation and more precise goal setting for the next month and the month after that, until your goals are accomplished.

  2. Delegate – A mark of a great business analyst is an ability to delegate well.

    You are only one person tackling what seem to be insurmountable and emotional tasks. You do not have to take the load of everything on your shoulders.

    Look around you and use the help of others. Often friends and family want to help but don’t know where to begin or do not want to offend you by asking.

    Tell them specifically what you need help with, and you may be surprised how quickly these chores get done. Do you need help with household tasks to free up time for studying and working? Ask friends to come in to help or hire a professional house cleaner. Do you need safe childcare? Family members, friends or even carefully screened nanny services can help.

  3. To do lists – Make lists of what needs to be accomplished, and then get the reward of checking them off as you finish one by one.

  4. Prioritize – Write down everything you need and want to do today, tomorrow, in a month, in a year, your forever dream.

    Don’t worry about what order you write them down until you feel satisfied that everything, or most things, are emptied out of your thoughts and put down on paper or on an electronic notepad.

    Now, begin to categorize them in order of importance. When you are done, you will be able to easily look at your list and know what tasks need to be tackled first and which ones can wait.

  5. Use downtime – Look at your time spent in the car driving, time on-hold on the telephone or even time exercising.

    Begin to fill these void moments with things on your to-do list that you can check off while waiting such as reading books, articles or e-books that will further your goals.

  6. Finish something – Multitasking is often misunderstood. The idea of juggling several balls sounds so much more impressive than simply tossing one ball back and forth in the air.

    However, to truly do something with enough excellence to feel satisfied, it is really better to finish a task than it is to begin new ones.

    Focus on finishing one task at a time and doing it well. Every time you check something off of your list, it will serve as a motivator to keep going down the list one at a time.

  7. Rest – Try to start up and operate a motor vehicle with no gasoline and you’ll soon discover what you try to do when you push yourself through night after night without an adequate amount of sleep to regenerate, refresh and gain a renewed perspective.

    Remember that your body and brain need time to regenerate.

  8. Exercise – Time spent on exercise may sound like a waste of otherwise productive time.

    However, you need time to regroup and help your physical body combat stress. You can also spend this time wisely by listening to books on tape, reading study materials or reassessing your to-do list.

  9. Declutter – It may sound silly, but working in a cluttered environment actually decreases productivity and increases stress.

    Set aside time each day to declutter. Delete unnecessary emails, clear off your workspace, get rid of junk mail. Carve out for yourself a clutter-free zone where you can work and learn.

  10. Scheduling – Plan your days by assigning specific times to specific tasks and meetings. Stick to your deadlines as best you can by respecting your schedule and communicating to others that you respect their time as well.

    Be realistic and careful not to overstuff your calendar. For every hour of expected time to complete a task, allow as much as 20 minutes for interruptions.

Work smarter not harder. There is a guideline that resembles a complicated math word problem known as the 80/20 Rule. This rule states that 80% of unfocused effort generates only 20% of results. The remaining 80% of results are achieved with only 20% of the effort.

Discover the time wasters in your life so you can begin to identify and focus on the activities that give you the greatest returns.

Do this by using a stopwatch or a timer and by taking a day out just to write down how your time was spent. It may seem like a waste of time to do this, but what you learn from it will be astounding and will help prepare you to be an excellent business analyst.
